Step 1: Provide Your Talk Title & Description
If you are giving a talk on stage, you must submit the following details:
- Title of your talk
- Description (1-3 paragraphs) explaining the key themes of your presentation
- Sample image (horizontal format) that will be used for promotional purposes
Please submit all presentations by the specified deadline to ensure smooth technical setup.
Step 2: Prepare Your Presentation File
Slide Format Requirement
- Aspect Ratio: 16:9 Widescreen
- Background: A Black background is recommended for consistency and readability on the 4K LED screen
Mac Users – Keynote (Preferred Format)
- Open Keynote and create a new presentation
- Go to Document Settings → Slide Size → Select Widescreen (16:9)
- Set the background to Black
- Follow image and video guidelines for 4K display compatibility

Windows Users – PowerPoint
- Open PowerPoint and create a new presentation
- Go to the Design tab → Slide Size → Select Widescreen (16:9)
- Adjust the background to Black for consistency
- Ensure all media files are embedded to avoid missing content during playback

Step 3: Content Guidelines
All presentations must adhere to professional standards and be appropriate for a diverse, global audience. Regional cultural guidelines must also be respected.
- Socially unacceptable content in any region where Xposure is hosted is not permitted.
- Nudity, sexually explicit content, and intimate scenes, including kissing, must not be included in presentations, whether in still images or video footage.
- Presentations must remain politically neutral and should not promote or criticise any political agenda, party, or figure.
Prohibited Content:
- Genitals – Full or partial nudity is strictly prohibited.
- Buttocks – Even in artistic or non-explicit contexts, images showing bare buttocks are considered inappropriate.
- Pubic Area – Any exposure of this region is strictly banned.
- Explicit Sexual Imagery – Any images suggesting sexual activity, regardless of nudity, are unacceptable.
- Kissing or Intimate Scenes – Images or videos depicting kissing, sexual intimacy, or suggestive physical contact should not be included.
Failure to comply with these guidelines may result in content being removed or presentations being rejected before the event.
Step 4: Why PDFs Cannot Be Used
Presentations in PDF format are not supported. Regardless of whether you plan to use your own laptop or our system, PDFs are not accepted due to resolution and display issues.
Problems with PDFs:
- PDF files do not match the required 3840 x 2160 pixels (16:9 aspect ratio) for the 4K LED screens, leading to scaling issues and pixelation.
- Page sizes in PDFs are fixed and may not fit the presentation screen properly, causing cropped content or unwanted white margins.
- PDFs do not support embedded videos, transitions, or animations, which reduces engagement.
- Unlike Keynote or PowerPoint, PDFs cannot be dynamically adjusted on stage or controlled smoothly with a presenter clicker.
To ensure a seamless on-stage experience, presentations must be prepared in Keynote (Mac) or PowerPoint (Windows).
Step 5: Pre-Event Check-in & On-Stage Setup
Green Room Requirement
- Arrive at the Green Room at least 15 minutes before your scheduled appearance.
- The tech team will fit a wireless microphone and headset to allow free movement on stage.
- A handheld clicker will be provided to control slide transitions.
Presentation Setup & On-Stage Tools
- The production team will preload all presentations onto the system.
- A confidence monitor above the audience will display the live presentation, mirroring the main screen.
- The confidence monitor will also include a countdown clock to track the remaining time.
